Step Three — Expanding Your Options

Announcements (Greetings)

You may choose to record Extension Announcements.

Customized greetings that are specific to a location or event are ideal when you want callers to hear different messages at different times. Announcements can be recorded over the phone or uploaded to your Web account.

An Example for Extension 70 would be: "Hi. This is (your name). I'm out of the office through Friday. I will be checking voicemail each evening. Please leave me a message or contact (name) if you have an urgent issue."

Tip: Whenever you use a new extension, call your Mobile Manager to confirm that your greetings and call flow work as you intended.

Recommendation:
We recommend that you record, one time only, announcements on 5 extensions: 10 (if you have a home phone) 21 (if you have an office) 31 (for your cell phone) 70 (if you choose to be un-available) 79 (when you are with a client)

By Phone:

To record an Announcement:

  1. From the Main Directory, touch 8 to access User Options.
  2. Touch 1 to record an announcement.
  3. Touch in the 2-digit extension number of the extension for which you wish to record an Announcement.
  4. Listen to the existing Announcement or touch * to skip listening to it.
  5. At the tone, record the new announcement.
  6. Touch * to end recording.

Recommended Greetings

Extension 10 Screened forward to your Home
You have reached the Mobile Manager number of (your name) at (your company). If you would like to speak to me directly, press 0 now. To leave a message, please stay on the line.

Extension 20 Direct Call forward to your office
You have reached the Mobile Manager number of (your name) at (your company). Please hold as Mobile Manager finds me at my office. If I am available we will be connected in a moment. To leave a message, please touch the # key now.

Extension 21 Screened Call forward to your office
You have reached the Mobile Manager number of (your name) at (your company). If you would like to speak to me directly press 0 now and you will be forwarded to my office.
If I am available, we will be connected in a moment. To leave a message, please stay on the line.

Extension 30 (Direct Call forward to your cell phone)
You have reached the Mobile Manager number of (your name) at (your company). Please hold as Mobile Manager finds me on my cell phone. If I am available we will be connected in a moment. To leave a message, please touch the # key now.

Extension 31 Screened Call forward to your cell phone
You have reached the Mobile Manager number of (your name) at (your company). If you would like to speak to me directly press 0 now and you will be forwarded to my cell phone.
If I am available, we will be connected in a moment. To leave a message, please stay on the line.

Extension 70 Voicemail
You have reached the Mobile Manager number of (your name) at (your company). I am unable to take your call at this time. Please leave a detailed message along with your name and number and the best time to return your call.

Extension 79 Voicemail (Have a new extension created by customer service if this extension is not in your account. 1-877-880-0055)

You have reached the Mobile Manager number of (your name) at (your company). I am with a client at this time, but will be happy to call you the moment our meeting has ended. Please leave a detailed message along with your name and number, and I will return your call promptly.
